Q & A – Can we have an electronic handbook and eliminate the “hard copy”?

Q: Can we have an electronic handbook and eliminate the “hard copy”?

A: Whether you make your employee handbook available in electronic form or disseminate printed copies to all employees, the key is making sure every employee has access to your handbook.  If all of your employees have access to a computer, either at work or at home, your organization might want to have a company-wide meeting introducing the new electronic handbook and explain how to access it on the company’s website.  Any new policies or changes might be highlighted during the presentation.

If you have employees that do not have access to a computer, it’s important to make sure they have access to a printed copy, perhaps providing one copy in each department.  Your organization might also want to have a kiosk available where employees without computers may access the handbook.  Ask all employees to read the handbook during work hours and sign and date an Acknowledgement of Receipt.
